A photograph alone can make a size look larger or smaller than it really is, depending on the angle and lens used, so pair photos with an actual measured width and height, or a person standing next to the board for scale, so a supplier is not guessing at proportions.

Where possible, an in-person or video walkthrough of the room adds another layer of confidence beyond photos and drawings alone, particularly for a room with an unusual shape or a raked floor that is hard to convey accurately in a single flat photograph.

A supplier who asks about seating layout, typical viewing distance and whether the room is flat or raked before quoting is applying the right sizing logic to a large classroom whiteboard, rather than defaulting to a generic standard size. For large learning space orders specifically, some suppliers include a site visit as a standard part of the quoting process, recognising that a phone conversation and a floor plan are rarely enough to size accurately for a room with raked seating. Sizing is sometimes left until late in a project, once most other fit-out decisions are finalised, which can mean the board is squeezed into whatever wall space remains rather than being planned in from the start.

It is also worth asking whether the same supplier can advise on mounting height and finish alongside size, since these three factors are closely related and a supplier only quoting on dimensions may miss a detail that affects how well the finished board actually performs in the room.

Sizing decided this late in a project is also harder to revisit once budgets are locked, which is another reason to raise the whiteboard requirement as early as possible.

There is no universal correct size for a large classroom whiteboard. Treating every large learning space and every standard classroom as needing its own sizing assessment, rather than applying a single institutional standard, produces better results across a whole estate. Presenting a sizing rationale based on measured viewing distances, rather than a round-number guess, also tends to move more smoothly through a budget approval process. If your institution has multiple large learning spaces of different sizes, keep a simple record of the sizing rationale used for each, and consider a brief review after the first full academic year of use to confirm the decision has held up in practice.
