How large should a whiteboard be for a 10-person meeting room?

Size a whiteboard for a 10-person room using a general rule of thumb, and two rooms that both seat ten can still need very different boards depending on shape and viewing distance. Measuring the actual room, and checking legibility from the furthest seat, is a simple test that catches sizing mistakes before an order is placed. Do that and the board fits the specific room it was bought for, not just the average one.

Start with the table, not the wall

The number of people who need to read the board at once is the real constraint, not the available wall space. For a 10-person room, that usually means a board wide enough that someone at either end of the table can read it without leaning forward. Measuring from the two furthest seats to the board, rather than simply measuring the wall, gives a far more reliable sense of the minimum width actually needed. This is particularly relevant in rooms with a long, narrow table, where the distance from the far end to the board can be considerably greater than the room’s overall footprint might suggest.

Standing at the furthest seat and checking whether text of a realistic size would still be legible from there is a simple, practical test that catches sizing mistakes before an order is placed rather than after installation. Chameleon ceramic steel panels are available up to a standard maximum size of 1180 x 2980mm, which comfortably covers most single-panel 10-person rooms without needing a join at all.

These figures are a starting point rather than a fixed rule, and should be checked against the room’s actual seating layout and viewing distances before finalising a specification.

Account for how the room is actually used

A room used mainly for status updates needs less writing space than one used for workshops or planning sessions. If the same room hosts both, size for the more demanding use case rather than the average one. It is worth asking how often the room hosts larger, more visual sessions specifically, since those moments are usually what a board size gets judged against later. A quick way to check this is to look back at how the room has actually been used over the past few months, rather than relying on how it was originally intended to be used when first designed.

A board sized only for status updates tends to quietly steer meetings back toward that lighter format, since there is simply no room left to sketch a process or map out a plan once the agenda calls for it. Sizing generously enough to cover the workshop scenario keeps the room genuinely flexible instead of nudging every session toward the shortest, simplest use of the space.

Leave room to avoid erasing early

Running out of space mid-session is one of the most common complaints about undersized boards. A slightly larger board than seems strictly necessary avoids the moment where useful context gets wiped away just to make room for the next idea. Teams that have experienced this once tend to specify generously the second time, having learned that a board sized exactly for today’s agenda rarely accounts for how the conversation actually unfolds.

A ceramic steel surface is built to be written on and erased daily for years without losing its writing quality, so the sizing decision is really the only limiting factor left; the board itself will happily outlast several rounds of undersizing regret.

When a single panel isn't enough

If the room regularly needs more space than a single large panel provides, a modular whiteboard wall extends the same writing surface across more of the room without losing the continuous, joint-free feel of one board. This tends to become the right answer once a room consistently hosts sessions involving several parallel workstreams rather than one linear discussion.

Because the panels mount on the same certified magnetic system regardless of how many are combined, a two- or three-panel wall installs flush and level, so it reads as one continuous surface rather than a row of separate boards bolted together. There is no fixed ceiling on how far this can extend either; rooms that need to wrap a board around a corner or continue it along an adjoining wall can do so with the same panel system, rather than switching to a different product halfway through. Where a single panel does reach its limit, Chameleon’s TÜV-certified magnetic mounting system keeps a multi-panel layout just as secure as a single piece.

Getting the right size specified

Because room layouts vary, the most reliable way to land on the right size is to measure the wall and the table together, then have that translated into a specification through an architect or fit-out partner. A specification built this way tends to hold up well even as the room’s use evolves, since it was based on how people actually sit and work in the space rather than an assumption made from a floor plan alone. Sharing this information directly with whoever is managing the specification, rather than relying on a generic size recommendation, tends to produce a far better fit for the specific room.

Requesting a physical sample of the surface finish before the final size is confirmed is worth the extra step; it is a far cheaper way to catch a mismatch than discovering it after a full-size panel has already been installed. Building this check into the project timeline early, rather than treating it as a final formality, is what keeps a large whiteboard order from becoming the one detail that delays an otherwise finished room.
