A placeholder box tells other trades that something occupies that wall space, but nothing about its actual depth, fixing method or clearance requirements. Once M&E or joinery trades start coordinating around that wall, an inaccurate placeholder becomes a genuine clash risk rather than a convenience.

Many whiteboard suppliers now provide accurate BIM objects specifically to avoid this, which is worth requesting at the specification stage rather than modelling a generic substitute.

Requesting the object early in the design programme also gives the architect time to raise any dimensional concerns before the model is shared more widely with other consultants.

Beyond the board’s width and height, the model should reflect its actual mounted depth off the wall, plus clearance for markers, erasers or any accessory tray fixed alongside it. These small clearances matter more than they seem, particularly in tighter meeting rooms where furniture layout is planned close to the wall.

Furniture placed close to the wall, such as a credenza or bench seating, should also be checked against the modelled clearance, since a whiteboard that looks fine in isolation can conflict with nearby furniture once the full room layout is modelled together.

Where multiple whiteboards are specified across a project, modelling one accurate object and reusing it consistently, rather than remodelling similar objects by eye each time, also reduces the chance of a dimensional inconsistency creeping into the drawing set.

The model should note the wall type the board is mounted to, since this affects fixing method and can require reinforcement that needs coordinating with the structural or joinery package well before installation. Flagging this at design stage, rather than discovering it during a site visit, avoids a late change to the wall build-up.

This is particularly relevant on refurbishment projects, where the existing wall construction may not match what is assumed from as-built drawings alone.

Where a design whiteboard uses a custom colour, frame finish or branding, that information should sit in the object’s data or a linked specification note, not just in a separate document that might not travel with the model through later design stages.

This keeps the finish specification visible to whoever picks up the project further down the line, including a fit-out contractor working from the model directly.

A simple data field noting finish and colour code, attached directly to the BIM object, is usually enough to keep this information travelling with the model through subsequent design stages.

This becomes particularly important on larger projects with multiple design team members, where the person specifying the finish and the person eventually placing the order may not be the same individual months later.

A whiteboard on a wall that also carries sockets, data points or lighting controls needs those elements coordinated around it early, since moving a socket after a board is fixed in place is a far more disruptive fix than adjusting the drawing before construction starts.

This coordination is considerably cheaper to resolve in the model than on site, where moving a socket or relocating a light switch after first fix has already gone in adds real cost and delay to the programme.

A short coordination meeting once the whiteboard object is placed in the model, involving the M&E consultant directly rather than relying on drawing markups alone, tends to catch these clashes earlier and more reliably.
