5 planning methods that need a full magnetic wall

Run kanban, sprint planning or status tracking on a small magnetic board, and the method itself gets constrained by how much surface is actually available for it. Some planning methods need a full magnetic wall to work as intended, not a fraction of one. Recognise which methods a team actually uses and size the board for the method, not the other way around.

1. Kanban with multiple workstreams

Once a team runs more than two or three parallel workstreams, a kanban board needs enough width for each to have its own set of columns without visual crowding, something a screen struggles to display legibly all at once. Scrolling a digital board sideways to see a workstream that’s currently off-screen breaks the at-a-glance overview that makes kanban useful in the first place. Teams running four or more workstreams often find that colour-coding each stream’s column headers, in addition to spatial separation, makes the wall easier to scan quickly from across the room, particularly useful in open-plan offices where the board is glanced at in passing rather than studied up close.

2. Capacity and resource planning

Mapping who’s working on what across a team, often with a grid of names against weeks or projects, works well as a physical layout where a name magnet can be dragged to a new row in seconds rather than edited in a spreadsheet cell. A full wall also lets several people update capacity at once during a planning session, which a shared screen with one cursor can’t support. This format also makes overallocation immediately visible: a name magnet appearing in too many rows at once is obvious on a wall in a way it can be easy to miss scrolling through a spreadsheet or a digital resourcing tool one row at a time.

3. Design sprints and workshop facilitation

Structured workshop formats that move through stages (diverge, cluster, vote, decide) benefit from a wall large enough to hold all the sticky notes from every stage simultaneously, letting a facilitator refer back to earlier output without scrolling. This is one of the clearest cases where physical space directly enables a method that digital tools struggle to replicate at the same pace. Facilitators running multi-day workshops particularly benefit from leaving earlier stages visible throughout, since participants frequently want to revisit an earlier idea when a later discussion sparks a new connection to it, something only possible if the wall hasn’t been cleared between sessions.

4. Long-running milestone tracking

A project with phases stretching over months benefits from a timeline that stays visible and physically present in the room, rather than a status that only exists when someone opens a file. Visitors and stakeholders passing through the space also pick up the current status passively, without needing a dedicated update meeting.

5. Onboarding and training boards

A visual map of a process or team structure, built up with movable pieces as new starters learn it, works better as a physical reference they can walk up to and study than a slide they were shown once. New team members also tend to remember material better after physically interacting with a board than after passively viewing the same content on a screen.

Choosing which of these apply to your team

Few teams need all five at once. A practical starting point is to identify which single method is currently causing the most friction on a screen, whether that’s a kanban board that’s hard to scan or a workshop format that loses momentum switching between slides, and size a magnetic wall around solving that specific problem first.
