A specification checklist before ordering a custom whiteboard

Most custom whiteboard problems are not discovered on delivery day; they surface weeks later, once a slightly-off size or a mismatched finish is impossible to ignore. Almost every one of these problems traces back to a detail that was assumed rather than confirmed before production started. A short checklist, worked through properly before an order is placed, is usually all it takes to avoid them.

Size and shape confirmation

Confirm exact dimensions and, for any non-standard shape, a clear drawing or template rather than a verbal description. This is the single detail most likely to cause a costly mismatch if left approximate. Even a small dimensional error can be costly to correct once a custom board has already been manufactured to the wrong specification. A short site visit or detailed photo set, combined with precise measurements, is usually enough to avoid this becoming an issue later in the project. Treating this step as non-negotiable, regardless of how minor the customisation seems, is the simplest way to avoid an expensive misunderstanding.

Surface material and finish

Confirm the writing surface material, ideally ceramic steel, along with any colour or branding finish, and check this against a physical sample rather than a digital reference before signing off. This step is easy to skip when working under time pressure, but it remains one of the most reliable ways to avoid a mismatched result. Skipping this check because a supplier seems reputable is one of the more common reasons a custom order ends up needing rework after installation. This applies just as much to a repeat customer ordering a second custom board as it does to a first-time buyer.

Mounting method and wall condition

Confirm how the board will be mounted and whether the wall needs any preparation, particularly for a heavier custom shape or one with an unusual weight distribution. This is especially important for larger custom boards, where uneven weight distribution can put strain on a mounting point not designed for it. This conversation is worth having even for boards that seem straightforward, since wall condition can vary more than expected between rooms in the same building.

Branding and content placement

If branding is involved, confirm exactly where it will sit relative to the usable writing area, and check this against how the board will realistically be used day to day. Reviewing this placement against a mock-up, rather than a written description alone, tends to catch potential issues earlier. This is particularly relevant for boards used heavily for writing, where poorly placed branding can end up directly under where people naturally rest a hand or write most often. A short review meeting with a mock-up in hand is usually enough to resolve this before it becomes a real problem.

Lead time and sign-off process

Confirm a realistic lead time given the specific customisation involved, and agree who has final sign-off on the specification before production starts, to avoid changes once manufacturing is underway. This is particularly important on projects involving several stakeholders, where sign-off can otherwise become unclear partway through. Building a small buffer into the timeline for this stage tends to prevent the whole project from feeling rushed near the end. Agreeing this timeline in writing, alongside the rest of the specification, keeps everyone working from the same expectations rather than relying on memory of an earlier conversation.

Reviewing the finished specification as a team before signing off

Even a carefully prepared specification benefits from a final review involving more than one person before it is sent back to the supplier for sign-off. Someone focused on budget may catch a cost implication that was not obvious to whoever focused on the design details, while someone who will actually use the board day to day may spot a practical issue that neither the designer nor the buyer considered. This does not need to be a lengthy process; a short review meeting with the specification document and any supplier drawings in hand is usually enough to catch the kind of oversight that becomes expensive to fix once production has already started. Treating this as a standard step, rather than an optional extra, is one of the simplest ways to avoid the most common and most preventable custom whiteboard ordering mistakes. This collaborative check costs very little time relative to the disruption it can prevent later in the project.

What happens when one item on the checklist gets skipped

It is worth being specific about what actually goes wrong when a step on this checklist is skipped, since the consequences are rarely dramatic in the moment. A size confirmed only verbally might arrive a few centimetres out, which then means either an awkward gap on the wall or, in the worst case, sending the board back and starting production again. A finish approved from a digital swatch rather than a physical sample might look noticeably different once installed under the room’s actual lighting, which is disappointing but rarely something a supplier will simply redo for free. A mounting method not confirmed against the actual wall might reveal, on installation day, that additional bracketry or wall reinforcement is needed, adding cost and delay at the least convenient point in the project. None of these outcomes are catastrophic individually, but together they explain why the checklist approach exists in the first place: each item removes one specific, well-documented way that custom whiteboard orders go wrong in practice. Viewed this way, the checklist is less about bureaucracy and more about closing off the specific, well-documented ways a custom order tends to go wrong.
