Magnetic board or a full whiteboard wall: which does a collaborative team actually need

Both a large magnetic board and a full whiteboard wall cover a lot of surface, and both support daily writing, so the choice between them usually comes down to how the team actually uses the space rather than size alone. This comparison looks at what each is genuinely built for, where they overlap, and how to tell which one fits your team’s habits.

What a magnetic board is built for

A magnetic board is at its best holding a mix of written notes and movable physical items: cards, printed sheets, name tags, coloured markers. It suits planning work where the structure (columns, swimlanes, a timeline) stays largely fixed while individual items move around within it. Teams running kanban, sprint planning or long-running status tracking tend to get the most from this format, since the persistent structure is exactly what those methods depend on. The board effectively becomes a workflow tool rather than a writing surface, with most updates involving moving something rather than writing something new.

What a full whiteboard wall is built for

A whiteboard wall is optimised for writing at scale: brainstorming sessions, working through a problem across a large area, or multiple people sketching in different zones simultaneously. It’s magnetic too in most Chameleon installations, but the primary use case is freehand writing and drawing rather than holding a fixed structure of movable pieces. Design teams, engineering groups working through diagrams, and any team whose main activity is thinking out loud on a large surface tend to favour this format. Because a whiteboard wall is wiped and reused constantly, it suits work that’s genuinely disposable in the short term, where the value is in the thinking process rather than in keeping the result visible for weeks.

Where the two overlap, and where they don't

Both are ceramic steel and both take magnets, so in practice a whiteboard wall can do most of what a magnetic board does, and vice versa. The real difference shows up in how a team plans day to day: a team that mostly writes and erases fits a whiteboard wall better, while a team that mostly rearranges cards and printed material against a fixed layout gets more out of a board optimised for that use. Neither format is technically limited compared to the other; the difference is entirely about which use case is treated as the default. A useful test is to think about the last ten times the wall was used: if most of those were someone standing and writing, that points to a whiteboard wall; if most were moving something that was already there, that points to a magnetic board.

A cost and space consideration

Because both products use the same core material, cost differences between the two tend to come from size and finish rather than the format itself. A whiteboard wall is often specified larger, since freehand writing across several people benefits from more open space, while a magnetic board’s size is driven more by how many structured elements need to be visible at once. Neither is inherently cheaper; the total cost usually reflects the size actually needed for the intended use. It’s worth resisting the temptation to size either format based on the other’s typical dimensions, since doing so risks over- or under-specifying for what your team actually needs.

How teams that have both actually divide the work

Some offices with space for both keep a whiteboard wall in a meeting or design room for active problem-solving sessions, and a separate magnetic board in a team area for ongoing planning that needs to persist between meetings. This split avoids the two use cases competing for the same surface, since a whiteboard wall used for daily brainstorming would need to be wiped constantly if it also had to hold a persistent kanban layout, undermining both purposes at once.

Signs you've chosen the wrong format

A magnetic board that mostly sits with its structure unused, aside from the occasional written note, is a sign a whiteboard wall would have suited the team better. Conversely, a whiteboard wall where the same status grid gets redrawn from memory every single day is a strong sign the team actually needs the persistence a magnetic board provides. Either mismatch is usually easy to spot within the first month of use, and it’s worth acting on that signal rather than assuming the team will adapt to the wrong format over time.

Choosing based on your team's actual habits

Watch how your team currently works before deciding. If most sessions involve someone standing and writing freely, a whiteboard wall matches that habit. If most sessions involve moving pre-made cards, updating a status grid or referring to a printed document pinned in place, a magnetic board suits the pattern better, even though either surface can technically support both. Where a team genuinely does both in roughly equal measure, splitting the available wall space between a smaller magnetic board and a larger whiteboard area is often more practical than trying to force one format to do everything.
