Using a large magnetic board for kanban, planning and status tracking

A large magnetic board can support several different planning methods on the same wall, often at the same time. Below are the ways teams most commonly put the surface to work, from simple kanban columns to longer-term capacity tracking, and what makes each one work better on a magnetic surface than on a screen or a plain whiteboard.

Kanban columns that don't need redrawing

A magnetic board holds a kanban layout as a permanent set of columns, usually marked with tape or a printed strip, with cards moving from “to do” through “in progress” to “done”. Because the columns themselves never change, only the cards inside them do, the board stays legible even when several people update it during the same day. Many teams add a simple “blocked” row beneath the main columns, giving stuck items a visible home rather than letting them get lost inside a column where they no longer belong.

Sprint and capacity planning

Teams running short planning cycles use the board to lay out a sprint board with swimlanes per person or per workstream. Magnetic name tags and coloured dots for priority or effort let a team see workload distribution at a glance, something that’s harder to read at speed from a shared spreadsheet. Because the swimlanes persist between sprints, only the cards inside them need resetting at the start of a new cycle, which takes minutes rather than rebuilding the whole board from scratch.

Choosing which methods to run on one board

Most teams don’t run every method above at once. A practical approach is to start with the single method causing the most friction elsewhere, typically kanban or capacity planning, and add a second zone for status tracking or retrospectives only once the first is genuinely bedded in. Trying to launch all of these simultaneously on a new board often leads to a cluttered layout that takes longer to read than any single method would on its own.
