Understanding how that process actually works helps a school ask the right questions at the right stage.

Beyond room dimensions, an architect will want to know the subject and age group for each room, any display or storage requirements, and budget guidance. Once specified, the architect or fit-out partner typically manages the order directly with the supplier, coordinating delivery and installation with the wider building programme rather than the school dealing with a separate supplier independently.

If no architect is involved, confirm directly with the supplier who handles wall preparation, whether a site survey is included, and how installation will be scheduled around the school’s term dates. Whichever route is taken, share the final signed-off specification with everyone involved, so nothing is assumed differently by the architect, the fit-out team and the supplier.

If a whiteboard is bundled into a much larger architectural specification, delays elsewhere in the project can delay the board too. Flagging it as a lower-complexity, faster-lead-time item can sometimes decouple it from bigger project delays, which is one reason some schools maintain a direct supplier relationship for future top-up orders even where an architect manages the main project.

A thorough handover should include the final specification, warranty information and installer contact details, stored alongside procurement records rather than only with the facilities team, so it survives staff changes. A supplier who understands a school’s needs across multiple projects also consistently delivers a smoother experience than starting fresh with a new supplier every time. Schools that have been through this process more than once often say the second and third rooms go noticeably faster, precisely because the paperwork and reasoning from the first room didn’t need to be reconstructed from memory.
